How to properly set up a workstation

Setting up a workstation properly is key to improving productivity, comfort, and efficiency in a business environment. Here’s a guide to help you set up a functional, ergonomic workstation:

1. Ergonomic Chair:

  • Height Adjustment: Your chair should be adjustable to ensure your feet are flat on the floor, or on a footrest, with knees at a 90-degree angle.
  • Lumbar Support: Use a chair with good lower back support to maintain the natural curve of your spine.
  • Armrests: Set them so your arms rest comfortably with your shoulders relaxed.

2. Desk Setup:

  • Height: Your desk should allow your arms to rest parallel to the floor. If using a sit-stand desk, switch between sitting and standing positions during the day.
  • Space: Ensure enough space for essential items without clutter. Frequently used items (phone, notebook, mouse) should be within easy reach.

3. Monitor Position:

  • Eye Level: The top of the screen should be at or just below eye level to avoid neck strain. Your eyes should naturally fall to the center of the screen.
  • Distance: Position the monitor about an arm’s length away, roughly 20-30 inches, to prevent eye strain.
  • Dual Monitors: If using two, they should be positioned side-by-side and close enough that you don’t need to turn your head too much.

4. Keyboard and Mouse Placement:

  • Height: Keep the keyboard at a height that allows your arms to remain relaxed and elbows at a 90-degree angle.
  • Distance: The keyboard and mouse should be within reach without extending your arms fully.
  • Wrist Position: Keep your wrists straight, and avoid bending them upwards. Consider using a wrist rest for additional support.

5. Lighting:

  • Ambient Light: Ensure your workspace is well-lit with natural light or adjustable desk lamps to avoid screen glare.
  • Monitor Brightness: Adjust the screen brightness to match the ambient lighting conditions, preventing eye strain.

6. Cable Management:

  • Organized Cables: Use cable ties, clips, or a cable tray to keep cords organized and out of the way.
  • Surge Protector: Plug electronics into a surge protector to safeguard against power surges.
