Setting up email rules in outlook

1. Access Email Rules Settings

  • Open Outlook 365.
  • Click on the Settings icon (gear icon) in the top-right corner.
  • Scroll down and click on View all Outlook settings.

2. Navigate to Rules

  • In the Settings window, go to Mail > Rules.

3. Create a New Rule

  • Click on Add new rule.
  • Enter a name for the rule in the Name your rule field.

4. Set Conditions

  • Under Add a condition, choose what triggers the rule, such as:
    • From: Specify a sender’s email address.
    • Subject: Filter by keywords in the subject line.
    • Body: Search for specific terms in the email body.
    • Importance: Automatically handle emails marked as high or low priority.

5. Define the Action

  • Under Add an action, select what you want to happen when the condition is met, such as:
    • Move to: Move the email to a specific folder.
    • Delete: Automatically delete the email.
    • Mark as read: Mark the email as read upon arrival.
    • Forward: Forward the email to someone else.

6. Add Exceptions (Optional)

  • If needed, click Add an exception to refine the rule and prevent it from applying to certain emails (e.g., skip emails with certain words in the subject).

7. Save the Rule

  • After configuring the rule, click Save to apply it.

Your rule will now automatically handle incoming emails based on the criteria you’ve set.
